Equipment maintenance is not a virtue, it is a scheduling decision. Every tool a painting business owns will either be maintained on a schedule you choose or repaired on a schedule the tool chooses, and the second one always lands on the morning of a job you cannot move.

Everything else tends to be maintained by whoever notices, which means it is maintained inconsistently and usually too late.
Why an interval based list beats a tool based list

The instinct is to write a list per tool. That produces something nobody reads, because a painter finishing at half past four is not going to consult a manual for six items.
Intervals work better. A short daily routine that takes minutes, a longer weekly one, a monthly check that catches wear before it becomes failure, and a seasonal service on the things that genuinely need it. Each interval is a habit rather than a decision, and habits survive busy weeks in a way that decisions do not.
Sprayers, which is where the money is
An airless is the most expensive thing most painting businesses own after the vehicle, and it is also the one most reliably destroyed by neglect rather than by use. Material left in a pump overnight is the single largest cause of premature failure, and it is entirely avoidable.
Flush completely, not partially. A pump that is mostly clean still has material in the packings and the filters, and that material dries into an abrasive that wears the very surfaces the seals run against. Store with the correct storage fluid rather than water, especially anywhere that freezes, because water expanding inside a pump does damage no service will undo.
Filters are consumables and should be treated as such. A blocked gun or manifold filter shows up as poor pattern and gets blamed on the tip, which then gets replaced unnecessarily while the actual cause stays in place. Tips wear predictably and a worn tip sprays a wider, heavier pattern that uses more material and finishes worse, so the tip that feels like it is saving money is quietly costing it on every job. Access equipment
Ladders and steps get the least maintenance attention and carry the most consequence. They also degrade invisibly: a stile that took a knock in the van, a worn foot, a loose rivet, a hinge that no longer locks positively.
Inspect before use rather than periodically, because the damage happens in transit and between jobs rather than during work. Feet are the item to watch, since worn feet on a smooth floor are how ladders slide, and they are cheap to replace and easy to ignore. Anything damaged comes out of service immediately rather than being marked for later, because later means the ladder stays in the van and somebody uses it. A tool that is unsafe and still on the vehicle is a decision, not an oversight.
Power tools, lights and the small things
Sanders live in dust and fail from it. Extraction ports block, bearings ingest what the extraction did not catch, and pads wear unevenly and start leaving marks that get blamed on technique. Clear extraction after every job rather than when it stops working.
Heat guns and steamers are the opposite problem, in that they are used rarely and then trusted completely. Check the cord and the nozzle before use rather than after a long spell in the back of the van, since these are the tools most likely to have been knocked around while nobody was thinking about them.
Work lights earn a mention because they are how you inspect, and an inspection light that is dusty, dim or aimed wrongly quietly downgrades every quality check you make. Clean the lens, check the stand, replace anything that flickers.
Cords, leads and adapters are a safety item rather than a convenience item. Any lead with a damaged sheath, a taped repair or a loose plug goes in the bin rather than back in the van, and the reason to be strict about it is that the alternative is a judgement call made by a tired person in a wet garden.
Cold weather, and the damage that happens while you are not working
More equipment is destroyed in the off season than during it, and almost none of it by use. A pump left with water in it through a hard frost is the classic, but it is not the only one.
Anything that holds water is at risk: pumps, hoses, spray guns, pressure washers, and the water traps on compressed air lines. Drain, then protect with the correct fluid rather than assuming drained means empty, because a small residue in a valve is enough to crack a casting.
Product suffers too. Water based paint stored somewhere that freezes is frequently unusable afterwards even if it looks fine, and it will not declare that until it is on a wall. Batteries lose capacity in cold and some chargers refuse to charge a cold pack at all, which is discovered on a job rather than in the yard. Bring them indoors overnight in winter and the problem disappears.
The equipment maintenance checklist
- Daily: sprayer flushed completely at the end of use, never left with material in the pump
- Daily: gun, manifold and inlet filters checked, and cleaned or replaced when restricted
- Daily: tips inspected for wear and pattern quality, and worn tips retired rather than nursed
- Daily: brushes and rollers cleaned to the correct method for the product used
- Daily: ladders inspected before use for damaged stiles, worn feet and locking hinges
- Daily: leads and cords checked for damaged sheathing, with anything suspect removed from the van
- Daily: work lights wiped clean, since a dim light degrades every inspection you make
- Weekly: sprayer packings checked for leaks, and storage fluid topped up before any idle period

Keeping a log, and what it tells you
A maintenance log sounds like bureaucracy for a two van operation, and it takes about the same effort as a note on a phone. What it buys you is the ability to answer a question you otherwise cannot: is this tool worth keeping.
A sprayer that has needed three repairs in a year is telling you something that a general sense of it being a bit unreliable never quite will. Written down, the decision to replace becomes obvious and unemotional. Without the record, businesses tend to repair well past the point where repair made sense, because each individual repair looks cheaper than a replacement.
The same record answers the buy or rent question honestly, since it exposes the true cost of ownership rather than the purchase price. The tools that are maintained by replacing them
Not everything is worth servicing, and treating consumables as equipment wastes more time than it saves.
Spray tips, filters, sanding pads, blades, roller covers and caulk nozzles are all consumables. The failure mode with these is not neglect, it is over use: a scraper blade that is blunt, a sanding pad that is glazed, a roller cover that has started to shed. Each of those makes a painter slower and the finish worse, and each is replaced for a trivial cost relative to the labour it is degrading.
The practical rule is that if a tool is making somebody work harder for a worse result, its replacement was already overdue. Carry spares on the van so that the decision to change one is made on the job rather than deferred to a store trip, which is exactly the deferral that keeps a blunt blade in service for another fortnight.
Who owns maintenance
Somebody by name, or it does not happen. Shared responsibility for equipment produces equipment nobody is responsible for, which is how a business ends up with four sprayers and one that works.
The workable model in a small crew is that the person who used the tool cleans it, and one named person owns the weekly and monthly intervals. In a larger operation the weekly and monthly intervals belong to whoever loads the vans, because they are already touching everything.
Make it a paid task rather than an expectation at the end of a shift. Maintenance that competes with going home loses every time, and the cost of half an hour a week is trivially less than the cost of an unplanned equipment failure on a scheduled day.
